A digital transformation engagement that replaced a fragile, paper-based subscription workflow with a centralized, automated Airtable system — giving the whole team real-time visibility for the first time.

Situation

Bryton managed all client subscription records with pen and paper. As the client base grew, the system became a liability — billing errors crept in, renewals were missed, and there was no reliable way to see which clients were active, lapsing, or overdue without physically flipping through binders.

Task

Lead the digital transformation of the subscription tracking workflow end-to-end: design the system, migrate the existing data, automate the routine follow-ups, and get the team fully onboarded — without disrupting day-to-day operations.

    Audited the existing paper records and mapped the full client lifecycle — onboarding, active subscription, renewal window, and lapse — to understand exactly what data needed to be captured.

    Designed a custom Airtable base with tables for clients, subscriptions, and payments, linked so changes cascade correctly across the system.

    Built filtered views tailored to each team role: account managers saw only their own clients, finance saw payment statuses and outstanding balances, and leadership got a full-pipeline overview.

    Set up automated email reminders for upcoming renewals (14 days and 3 days out) and overdue payment alerts, replacing the manual chasing that previously fell through the cracks.

    Migrated all existing paper records into Airtable, cleaning and standardising data during the process.
